HireIQ ("we," "our," or "us") is committed to protecting the privacy of all users of our AI-powered resume screening platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.
2. Information We Collect
We collect the following types of information:
- Account Information: Name, email address, organization name, and billing information when you create an account.
- Candidate Data: Resumes, CVs, and related documents uploaded for screening. This includes personal information contained within those documents such as name, contact details, work history, and educational background.
- Usage Data: Information about how you interact with our platform, including features used, pages visited, and screening results generated.
- Payment Information: Payment processing is handled securely by Razorpay. We do not store complete payment card details on our servers.
3. How We Use Your Information
- To provide and improve our AI resume screening services
- To generate candidate scores, summaries, and skill gap analyses
- To communicate with you about your account, billing, and product updates
- To ensure platform security and prevent abuse
- To comply with legal obligations
4. Resume & Candidate Data Handling
Candidate resumes and screening data are stored securely and processed solely for the purpose of providing screening results. Key practices include:
- Resumes are stored using UploadThing with encryption at rest
- Screening data is stored in Google Cloud Firestore with strict access controls
- Data is never shared with third parties for marketing or advertising
- You can configure automatic deletion of old resumes through your privacy settings
- Default retention period is 90 days; configurable between 30 and 365 days
5. AI Processing
Resume screening and analysis are powered by Google Gemini AI. Resume content is sent to Google's AI services for processing. Google does not use your data to train its models. For more information, see Google's AI Privacy Notice. We do not use candidate data to train or improve our own models beyond providing the screening service.
6. Data Retention
We retain your account information for as long as your account is active. Resume and screening data are retained according to your configured retention settings. Upon account deletion, all associated data is permanently deleted within 30 days.
7. Your Rights
Depending on your jurisdiction, you may have the following rights:
- Access: Request a copy of your data
- Rectification: Correct inaccurate data
- Deletion: Request deletion of your data
- Portability: Export your data in a machine-readable format
- Objection: Object to processing of your data
